Many of our products are customised to meet the individual requirements of an event, company, charity, school, sports club or organisation. The final price may therefore depend on the product, quantity, size, material, printing method, artwork requirements, delivery location and required completion date.
This Pricing Policy explains how our website prices, quotations, additional charges, discounts and payments are calculated.
Clear and Transparent Privacy Policy
We aim to provide customers with accurate pricing information before an order is confirmed.
Wherever possible, the price shown on our website or quotation will clearly explain:

- The quantity included
- The size or dimensions
- The material or product specification

- The number of printed sides
- Whether artwork or design work is included
- Whether VAT is included or added separately

Website Prices
Prices displayed on our website are based on the product specification, quantity and options shown on the relevant product page.
Some products may be available to purchase directly online, while others may require a personalised quotation.
Where a price is advertised as being “from” a particular amount, this represents the starting price for the product under the stated conditions. The final price may be different depending on the quantity, size, printing method, artwork, material, finish and delivery requirements selected.
Website prices may be updated from time to time to reflect changes in manufacturing, materials, labour, energy, transport, currency exchange rates or supplier costs.
The price that applies to an accepted order will normally be the price confirmed at checkout or in the written quotation accepted by the customer.
VAT
All website pages, quotations and invoices will clearly state whether prices include or exclude VAT.
Where VAT applies, it will be charged at the appropriate rate and shown before the customer completes the purchase or approves the order.
Trade quotations may show the net product price, VAT amount and total payable separately.
Customers are responsible for checking whether the price supplied includes VAT before approving an order.
Personalised Quotations
A personalised quotation may be required for:

A quotation will be based on the information available at the time it is prepared.
Changes to the product, quantity, size, design, material, print coverage, delivery address or deadline may require the quotation to be revised.
Quotation Validity
Unless stated otherwise, quotations are normally valid for 30 days from the date of issue.
After this period, we may need to confirm the price again before accepting the order.
A quotation does not reserve materials, stock or production capacity unless this has been specifically agreed in writing.
Prices may need to be revised where there has been a significant change in supplier costs, exchange rates, raw material prices, courier charges or product availability before the order is accepted.
Once a quotation has expired, Printed Supplies for Events is not required to honour the original price.
Quantity-Based Pricing
Many of our products are priced according to the quantity ordered.
Larger quantities may benefit from a lower unit price because production, setup and printing costs can be spread across more items.
Where quantity discounts apply, the quotation or product page will show the price for the selected quantity.
Changing the quantity may change:
- The unit price
- The overall product price
- The delivery charge
- The number of production cartons
- The applicable printing method
- The lead time
The price for one quantity cannot automatically be applied to a different quantity.
Where an order falls between two published quantity levels, we may prepare a personalised quotation.
Minimum Order Quantities
Some products may be subject to a minimum order quantity.
Minimum order quantities may be required because of:
- Manufacturing processes
- Printing setup
- Material requirements
- Supplier packaging quantities
- Production efficiency
- Import or freight arrangements
The applicable minimum quantity will normally be displayed on the product page or included within the quotation.
Where we agree to produce a quantity below the usual minimum, an additional small-order or production charge may apply.
Artwork and Design Charges
Basic artwork preparation or a digital product proof may be included with selected orders.
This may include:
- Positioning a supplied logo
- Adding simple wording
- Adjusting the size of supplied artwork
- Preparing a basic product layout
- Creating a digital proof for approval
Additional artwork charges may apply where the customer requires:
- A new logo
- Extensive graphic design
- Logo recreation or vector conversion

- Complex illustrations
- Multiple design concepts
- Repeated amendments
- Changes outside the original brief
- Urgent artwork preparation
- Specialist production files
Any additional artwork charge will normally be explained before the work begins.
Artwork charges cover the time spent preparing or amending the design and may remain payable even if the customer later decides not to proceed with production.
Setup and Origination Charges
Certain printing and manufacturing methods may require a setup, tooling, screen, plate, cutting, programming or origination charge.
These charges may apply to:
- Screen printing
- Embroidery
- Specialist cutting
- Custom shapes
- Printing plates
- Tooling
- Moulds
- Production templates
- Colour matching
- Machine setup
Where applicable, the setup charge will be shown separately or included within the quoted total.
A setup charge is not necessarily refundable once the setup work has started.
Repeat orders may still require a setup charge, depending on the product, supplier and production method.
Printing and Colour Charges
The cost of printing may depend on:
- The number of print colours
- The size of the printed area
- The number of printed positions
- Whether printing is required on one or both sides
- Whether the artwork covers the full product
- The selected printing process
- Whether colour matching is required
- The complexity of the artwork
A product shown with a one-colour print price may cost more when additional colours, larger print areas or extra printed positions are requested.
Full-colour digital printing may be included on selected products, but this will be confirmed on the product page or quotation.
Colour Matching
Where a specific Pantone, CMYK or brand colour is required, additional colour-matching charges may apply.
Exact colour matching may not be possible on every product or material.
The appearance of a printed colour can be affected by:

- Lighting conditions
- Screen settings
- Separate manufacturing batches
Where exact colour matching is essential, customers should discuss this with us before placing the order.
Printed samples or pre-production samples may be available for selected products at an additional cost.
Delivery Charges
Delivery is not included unless this is clearly stated on the website, quotation or order confirmation.
Delivery charges may depend on:
- Product weight
- Product dimensions

- Number of cartons
- Delivery postcode
- Courier service
- Delivery speed
- Whether a pallet is required
- Whether the order is oversized
- Whether delivery is to a remote location
Additional delivery charges may apply to Northern Ireland, the Scottish Highlands, UK islands, the Channel Islands, the Isle of Man and other remote postcode areas.
International deliveries may also be subject to customs duties, import taxes, handling charges or local fees. Unless agreed otherwise, these charges are the responsibility of the recipient.
Express and Priority Charges
Some products may be available with an express production or priority delivery service.
Additional charges may apply where an order requires:

- Saturday delivery
- Specialist transport
- Dedicated courier collection
An urgent service is only confirmed when it has been accepted by Printed Supplies for Events in writing.
Paying an express charge does not remove the customer’s responsibility to provide suitable artwork, approve proofs and make payment promptly.
Samples
Samples may be available for selected products.
Depending on the item, a sample may be:
- Free of charge
- Subject to a refundable deposit
- Charged at the standard product price
- Charged with a delivery fee
- Available as a generic sample only
- Available as a personalised pre-production sample
Any sample charges will be confirmed before dispatch.
A generic sample is intended to demonstrate general product quality, material and construction. It may not exactly represent the final personalised order.
Promotional Offers
From time to time, Printed Supplies for Events may provide discount codes, promotional prices or special offers.
Promotions may be subject to:
- A closing date
- A minimum spend
- A minimum order quantity
- Selected products only
- One use per customer
- Website orders only
- UK mainland delivery only
- Exclusion of artwork, delivery or setup charges
Unless expressly stated otherwise, promotional offers cannot be used together.
Discount codes must normally be entered or mentioned before the order is completed. Discounts cannot always be applied retrospectively after payment has been made.
We reserve the right to withdraw or amend a promotion before an order is accepted.
Price Matching
We aim to provide competitive prices, but we do not guarantee to match every competitor quotation.
Where price matching is offered, the competing quotation must normally be:
- Current and valid
- From a legitimate UK supplier
- For the same product
- For the same quantity
- For the same material and dimensions
- For the same printing method
- For the same delivery requirements
- Based on comparable artwork and production specifications
We may ask to see a written copy of the competing quotation.
We reserve the right to decline a price-match request where the products, service levels, specifications or terms are not directly comparable.
Price Changes After Customer Amendments
A confirmed price may need to be changed if the customer requests an amendment after the quotation or order has been prepared.
This may include changes to:
- Quantity
- Product size
- Material
- Artwork
- Number of print colours
- Print position
- Delivery address
- Delivery deadline
- Packaging
- Product finish
- Personalisation details
We will advise the customer of any additional cost before proceeding with the requested amendment.
Production will not normally continue with a chargeable change until the revised price has been accepted.
Pricing Errors
We take reasonable care to ensure that prices displayed on our website, quotations and invoices are accurate.
However, an administrative, technical or typographical error may occasionally occur.
Where an obvious pricing error is identified before an order has been accepted or entered production, we will contact the customer and explain the correct price.
The customer may then choose whether to continue at the corrected price or cancel the affected order for a refund of any amount already paid.
We will not increase the price of an accepted order without notifying the customer and obtaining agreement where this is required.
Payment
The total amount payable will be shown on the checkout page, quotation, invoice or order confirmation.
Most customised orders require full payment before production begins.
Production lead times normally begin after:
- Cleared payment has been received
- The final artwork has been approved
- All product specifications have been confirmed
- The delivery details have been checked
Available payment methods may include debit card, credit card, bank transfer or another approved payment service.
Orders paid by bank transfer will not normally enter production until the payment has cleared.
Deposits
For certain large, specialist or high-value orders, we may agree to accept a deposit before production.
The quotation or invoice will explain:
- The deposit amount
- When the remaining balance is due
- Whether production begins after the deposit
- Whether any part of the deposit covers non-recoverable work or materials
Where work has started or materials have been ordered specifically for the customer, deductions may be made from a cancellation refund to cover reasonable costs already incurred, subject to the customer’s legal rights.
Reorders
Prices for repeat orders may differ from the original order.
This may be due to changes in:
- Supplier prices
- Raw materials
- Printing costs
- Delivery charges
- Exchange rates
- Minimum quantities
- Product availability
- Tax rates
- Manufacturing arrangements
Previous pricing does not guarantee the same price for a future order.
We will confirm the current price before accepting a reorder.
Cancellations
Orders for standard products may be subject to the cancellation rights explained in our Refunds and Returns Policy.
Personalised, printed and made-to-order products may not normally be cancelled once production has started.
Where a cancellation request is received before production, we will review the work completed and any costs already incurred.
Artwork, setup, administration, material or supplier charges may be deducted where they have already been reasonably incurred.
Faulty or Incorrect Products
Where products are confirmed to be faulty, damaged or produced incorrectly by Printed Supplies for Events, we will follow our Refunds, Returns and Faulty Goods Policy.
A customer will not be charged for correcting a confirmed manufacturing or printing error that is our responsibility.
Additional charges may apply where a replacement is required because of incorrect information, unsuitable artwork or an error approved by the customer.
Bespoke Pricing
Because many of our products are customised, prices may vary between orders that appear similar.
Factors affecting bespoke pricing can include:
- Quantity
- Product measurements
- Material thickness
- Printing coverage
- Number of colours
- Finishing method
- Packaging
- Delivery destination
- Required date
- Supplier availability
- Complexity of manufacture
A price provided to one customer or for one project may not apply to another order with different requirements.
Our Commitment
Printed Supplies for Events aims to ensure that customers understand the full cost of their order before making payment.
We will not intentionally add undisclosed mandatory charges after an order has been confirmed.
Customers should contact us before ordering where any price, specification, tax, delivery charge or optional extra is unclear.
